I require the organisation to provide me with the following contract information relating to the following corporate software/applications: 1. Enterprise Resource Planning Software Solutions (ERP) 2. Customer Relationship Management (CRM) Solutions 3. Human Resources (HR) and Payroll Software Solutions 4. Finance Software Solutions Along with the actual contract information for the above can you also provide me with the maintenance and support contract associated with each of the categories above if it not already within the existing contract. For each of the categories above can you please provide me with the relevant contract information listed below: 1. Software Category: ERP, CRM, HR, Payroll, Finance 2. Software Supplier: Can you please provide me with the software provider for each contract? 3. Software Brand: Can you please provide me with the actual name of the software. Please do not provide me with the supplier name again please provide me with the actual software name. 4. Contract Description: Please do not just state two to three words can you please provide me detail information about this contract and please state if upgrade, maintenance and support is included. Please also include the modules included within the contract. 5. Number of Users/Licenses: What is the total number of user/licenses for this contract? 6. Annual Spend: What is the annual average spend for each contract? 7. Contract Duration: What is the duration of the contract please include any available extensions within the contract. 8. Contract Start Date: What is the start date of this contract? Please include month and year of the contract. DD-MM-YY or MM-YY. 9. Contract Expiry: What is the expiry date of this contract? Thank you for your email received by Transport for London (TfL) on 10 February 2016 asking for contract information relating to various corporate software/applications.

Your request has been considered in accordance with the requirements of the Freedom of Information Act and our information access policy. I can confirm we do hold the information you require.

Unfortunately, as we have advised you previously (Refs FOI-0815-1516, FOI-2162-1516 and FOI-1719-1516), to provide the information you have requested would exceed the ‘appropriate limit’ of £450 set by the Freedom of Information (Appropriate Limit and Fees) Regulations 2004.

Under section 12 of the FOI Act, we are not obliged to comply with a request if we estimate that the cost of determining whether we hold the information, locating and retrieving it and extracting it from other information would exceed the appropriate limit. This is calculated at £25 per hour for every hour spent on the activities described.

As we have mentioned previously we do not hold the information you require in an extractable format. This information isn’t something that we hold centrally on our records but is held locally within the different departments. Therefore to locate this information we’d need to manually search through multiple business areas, many of which will have several different variations of the systems you refer to.

We have estimated that it would considerably exceed the cost limit provide a response to your current request as it would involve numerous members of staff manually searching their records to determine what any information is held in relation to your request. This information, where located, would then need to be extracted from the various sources and compiled manually in order to be put in a format suitable to provide to you.

To help bring the cost of responding to your request within the £450 limit, you may wish to consider narrowing its scope so that we can more easily locate, retrieve and extract the information you are seeking. If you want to refine your request or make a Freedom of Information Act request in future, please bear in mind that the Freedom of Information Act allows you to request recorded information held by us. You should identify the information that you want as clearly and concisely as you can, specifying the types of document that you are looking for. You might also consider limiting your request to a particular period of time, geographical area or specific departments of the organisation.

Although your request can take the form of a question, rather than a request for specific documents, we do not have to answer your question if it would require the creation of new information or the provision of a judgement, explanation, advice or opinion that was not already recorded at the time of your request.
