As per my records, Microsoft CRM contract has expired. I would like to know whether this contract is still valid or replaced by any other supplier. If all the information besides the contract dates are the same, I am happy to just receive an update on the contract dates

Thank you for your request which we received on 17 January 2023, asking for information about TfL’s CRM and ERP systems.

Your request has been considered in accordance with the requirements of the Freedom of Information Act and our information access policy.  I can confirm that we hold the information you require.

TfL’s Enterprise Resource Planning Software Solution (ERP) system, SAP ECC6 EHP7, encompasses all three:
  • Enterprise Resource Planning Software Solution (ERP)
  • Primary Human Resources (HR) and Payroll Software Solution
  • Primary corporate Finance Software Solution

You asked:

1. Name of Supplier: SAP.

2. The brand of the software: SAP ECC6 EHP7.

3. Description of the contract: Contract provides ERP software as a service. Upgrades, maintenance and operational support are not included (these services are provided by HCL and Lemongrass Consulting).

4. Number of Users/Licenses: 29,600 users/subscription licences.

5. Annual Spend: £6,378,226 for the ERP system.


6. Contract Duration: The current contract is for 3 years and 3 months.

7. Contract Start Date: The current contract start date is18/12/2020.


8. Contract Expiry: The current contract end date is 31/3/2026.

9. Contract Review Date: March 2025.



TfL has a multi-supplier Primary Customer Relationship Management Solution (CRM) Framework in place.

You asked:

1. Name of Suppliers: NTT Data, Deloitte, Ceox and CGI (multi-supplier framework).

2. Description of the contract: The framework is for the procurement of specialist consultancy services to support and configure Microsoft Dynamics 365, Power Platform and SharePoint 365.

3. Annual Spend: As this is a new framework we do not hold this information at this stage.


4. Number of Users/Licenses: This question is not applicable for this contract as it is a framework used for specialist consultancy services. Any subscriptions / licences required would typically be procured under TfL’s Microsoft Enterprise Agreement.

5.Contract Duration: 3 years with an option to extend for 1 year.

6. Contract Start Date: 06/06/2022.

7. Contract Expiry: 05/06/2025.

8. Contract Review Date: 05/06/2023.

With regard to contact details, in accordance with TfL’s obligations under Data Protection legislation we would not give out the direct contact details, as required by section 40(2) of the FOI Act. This is because disclosure of this personal data would be a breach of the legislation, specifically the first principle which requires all processing of personal data to be fair and lawful. It would not be fair to disclose this personal information when the individuals have no expectation it would be disclosed and TfL has not satisfied one of the conditions which would make the processing ‘fair’.
