Thank you for your request received by Transport for London (TfL) on 20th September 2023 asking for information about TfL’s reprographics and print arrangements.
Your request has been considered in accordance with the requirements of the Freedom of Information Act and our information access policy.
I can confirm that we hold the information you require. Your questions are answered in turn below:
I would be grateful if you would provide details of your current contract covering reprographics/print arrangements as follows: Question 1) Approximate number of MFDs (Multi-functional devices) & photocopiers at Transport for London? Answer: 280 MFDs and 231 desktop devices. Question 2) Name of incumbent? Answer: Computacenter Ltd. Question 3) Start/end date of contract (if expired, WHEN does TFL expect to revisit the marketplace) Answer: Contract commencement was 29/10/2019 and expires on 31/03/2027. We expect to revisit the marketplace in Q3/4 2025. Question 4) Details of any extension options? Answer: There are no further extension options available. Question 5) What framework / Route to market used? Answer: Print management has recently moved from a 10 year contract with HP which expired to an existing contract with Computacenter, both contracts were procured via an OJEU process. Question 6) Approximate number of regular/desktop printers (in addition to above) Answer: Approximately 1,385. Question 7) Is there a support contract on above, if yes please state start/end date Answer: Yes, expiry date of 31/03/2027 Question 8) Does TFL have a Print Room? Answer: No, printers are located in shared open print hubs on each floor at three head office buildings; and otherwise in various locations. Question 9) If yes, please state (a) name of supplier (b) number of devices (c) start/end date of contract, also details of any extension options Answer: Not applicable. Question 10) What Print software do TFL run? Answer: HP Universal Printing PCL6; SafeCom; HP Security Manager, and; Xerox XDM. Question 11) Approximate total annual spend on print? Answer: c.£600k. Question 12) Name of person at TFL responsible for the running of MFDs and, if applicable, the Print Room Answer: This function sits within TfL’s Technology and Data team.
