Your request has been considered in accordance with the requirements of the Freedom of Information Act and our information access policy.  I can confirm that we hold some of the information you require. You asked for the following:

Can you please list your current printing and photocopier services contract details under the following categories? For example, do you have a single contract for each print category or a combined contract and with which
organisation is the contract with?
a. For multi-function devices and photocopiers
I can advise that there is a single contract for this covered under a management print contract
b. For desktop printers
Not applicable.
c. For print room / reprographics
This is covered under a multi-function device contract
d. For any other print services contract
We have a single contract for Station Plotters
2. Can you please list your current Supplier(s) for your printing and photocopier service contracts for the following categories?
a. For multi-function devices and photocopiers
Hewlett Packard (HP).
b. For desktop printers
Not applicable.

3. Can you please list the length of each contract and expiry date for each of those contracts listed in question two, together with any option to extend those contracts and whether there are any plans to retender?

The duration is for four and three years respectively. The earliest expires on 2 December 2019 and the latest on 2 December 2022.
b. For desktop printers
Not applicable.
c. For print room / reprographics
This is covered under a multi-function device contract
d. For any other print services contract
Five years + 1 + 1 + 1. The earliest expires on 30 September 2016, whilst the latest expires on 30 September 2019.
4. Can you please list the number of devices included for each of those contracts listed in question two?

There are 345 devices.
b. For desktop printers
Not applicable.

Annual mono (black and white) print annual volumes are 39,200,000 and on a monthly basis 3,266,666.
Annual Colour print volumes are 16,800,000 and monthly 1,400,000.

In accordance with TfL’s obligations under Data Protection Legislation, we are not obliged to disclose their email addresses and phone numbers, as required by section 40(2) of the Freedom of Information Act. This is because disclosure of this personal data would be a breach of the legislation, specifically the first principle which requires all processing of personal data to be fair and lawful. It would not be fair to disclose this personal information when the individuals have no expectation it would be disclosed and TfL has not satisfied one of the conditions which would make the processing ‘fair’. This is an absolute exemption and therefore not subject to a public interest test.
